Communication and PR

Introduction - problem

To successfully organize a project one must maintain good communication with the hosts as well as any people who may be connected to the project in any way ie. family, students, colleagues.

All project plans must be outlined in a shared document accessible to all parties involved.

Prior to making first contact one should read the module "Partners and Networks".

One must determine when, with whom and how contact will be made.

Many things must be taken into account such as the possible time differences, schedules, holidays, and colloquialisms etc... of your host-country.

For a successful exchange you also need excellent PR at your own school as well as with the host school.

Ensure that the people who do not participate directly with the exchange can stay up-to-date with the activities occurring during the exchange.

Websites can be created where one you can post various reports and pictures of the activities that take place during the stay.

Such a site must be edited every day. This task could be assigned to small groups of students or a teacher responsible.

Below you will find a number of questions and notes with links that can help you find a solution.

Key words

  • Make arrangements about communication, before and after the exchange. What language will you use to address each other.
  • Do you know the habits of your host country, culture, eating habits?

Communication and PR

Beforehand:

  • You can put up posters in the staffroom, or the schoolbuilding (then the students are also up-to-date)
  • You can pay attention to an exchange in the school newspaper.
  • You can also contact a newspaper that could write an article about it.
  • Of course the weekly bulletin for teachers will also pay attention to the exchange.
  • Make sure that you know what software can be used in the country you are going to visit.
  • The people that stay behind will greatly appreciate it to stay up-to-date through pictures or reports.
  • Teach students or teachers how you can make a website or how to resize pictures for a website.
  • There are a number of programs that you can use;
    • Most computers have installed the program Microsoft Picture Manager, you can easily resize your pictures using this program, when you have resized you pictures they can be used for the website.
    • When using the program Adobe Photoshop 7.0 and 8.0 you can easily make large numbers of pictures suitable for a website.
  • Check the ICT availability in the host-country in advance; are their good, fast connections?
  • Take a laptop with you just in case. Then you also have the needed things with you.

During:

  • Make good arrangements about the web-based reports of the exchange
  • Is it going to be an individual diary per student?
  • Or will you choose day reports made by groups of students with accompanying pictures?
  • Use pictures with your reports. Students can also make their own photoalbum online (e.g. Picasa)
  • Ideas for parents to fill up spare-time
  • Make sure that you (as a teacher) know where everything is placed so that you can interfere or change things when mistakes have been made or if weird things are put on the site.
  • Make students aware of their responsibility when making a site. Is everything they make suitable for everyone?

After:

  • It is nice to have a beautiful website of the trip/project. Then everything that happened is recorded. Besides a nice reminder it is also ideal for a possible sequel.
  • You have a good guideline for a next excursion/exchange.
  • Make posters of the things you have learnt and seen so that you can show that to students and teachers.
  • You can also notify the newspaper
  • You can put a report in the bulletin for teachers.

Tips

Is there a possibility to use Skype or something similar. This way you can keep in touch with home very cheap. Make arrangements beforehand.

Try to find out beforehand what the technical possibilities are in the country you are going to visit, this prevents problems or disappointments.

Make sure you have clear pictures, don’t put junk on your site, prevent pictures of students who are continually hugging each other or something similar.
